Last-minute staff Christmas gifts you can still send on 23 December (UK)

November 4, 2026 · Christmas, Gifting

Left the team's Christmas gifts late? The 2026 UK posting cut-offs, what still arrives on 23 December, and how to send to a whole team in an afternoon.

You're humming along to Mariah Carey, when suddenly you realise it's the middle of December and you haven't sorted out the team gifts yet. And yes, that was very much a job you were given a couple of months ago. So long ago, in fact, that Christmas seemed like a distant haze on the horizon, but unfortunately, now it's looming larger than ever. Postal cut-offs are closing, and a big chunk of the team is already on annual leave. It's not very Christmassy to swear, but the temptation is definitely there...

The good news is, last-minute staff Christmas gifts are not the problem you might think they are in the UK. What changes is the process after a particular date in December: relying on delivery isn't wise, so you should send a gift link instead.

Quick answer: In 2026, Royal Mail's last recommended posting date for 1st Class is Monday 21st December, and Special Delivery Guaranteed runs to Wednesday 23rd December. Even then, a lot of your team will be travelling away from home by those dates, so they won't be around to receive your carefully considered gift. So the best bet is digital staff gifts: gift cards, e-gifts and gifts the recipient chooses, sent as a link by email, SMS, Slack or Teams. Under £50 each and not a reward for performance, they can still count as tax-free trivial benefits.

What can you still send on 23rd December?

Just to make things nice and easy, below you can find the 2026 calendar. Dates are from Royal Mail and the Post Office, checked 30th October 2026. Remote postcodes need to go earlier.

  • Friday 18th December: last day for 2nd Class post. If you have home addresses and a parcel ready, this is your comfortable deadline.
  • Saturday 19th December: Royal Mail Tracked 48, DPD 2 Day and Evri Standard Tracked. Useful in theory, but most office teams aren't in on a Saturday to hand anything to a courier.
  • Monday 21st December: 1st Class, Tracked 24, DPD Next Day and Evri Next Day Tracked. For most teams this is the real last day for anything physical.
  • Tuesday 22nd December: Parcelforce express24.
  • Wednesday 23rd December: Special Delivery Guaranteed and DPD Gold. Last call for posted gifts, and you'll pay for it.
  • Thursday 24th December: Christmas Eve isn't a bank holiday, but plenty of offices close early or don't open. From here on, it's digital or nothing.

And every one of those posted options assumes you have a reliable home address for every person, which a lot of HR teams don't. For a remote or hybrid team, the address problem usually ends the parcel plan before the posting dates do. We've written more on gifting a team without collecting addresses.

Last-minute Christmas gifts for employees that arrive instantly

All of these gift ideas work on 23rd December, and most of them on the 24th.

1. A choice of gifts by link

You set a budget and choose a selection, usually around 50 gifts, and each person picks the one they want: a meal out, a coffee run, a treat box. The budget stays hidden. It feels more like a present than a card, and it's still a link. See how gift with choice works.

One honest catch: if someone picks a physical item, it ships after they claim, and physical gifts take around five working days. Claimed on the 23rd, that lands after Christmas. So if you're sending in the final week, either curate the selection towards digital and experience options, or say so in the message ("pick something now, it'll be with you in the new year"). The benefit of this is that they get the feel-good moment twice: once when they receive the gift link from you, once when the actual gift arrives

2. A gift card they choose themselves

The most reliable last-minute staff Christmas gift is a gift card where the recipient picks the brand. You set the value, they choose from supermarkets, coffee shops, retail and restaurants. Digital codes arrive the moment they claim. Huggg carries 500+ gift card brands, so there's no guessing whether someone shops at M&S or Primark. Our guide to the most popular UK gift cards has the full shortlist.

3. Coffee, lunch or a takeaway for Christmas week

Small, universal and instant. A coffee-shop or lunch gift says thank you for covering the last week before the break, and a takeaway gift card covers the one night in December nobody wants to cook.

4. An experience they book for January

Cinema, a spa slot, a meal out. Sending an experience on the 23rd for use in January is completely fine. January is the long, grey month where a treat does the most work anyway.

5. Time off

Not a gift card, but worth saying. An extra half-day before the break costs very little and is usually the thing people most want. If the business can carry it, announce it with a small gift rather than instead of one.

Are last-minute Christmas gift cards tax-free?

They can be, and the rules don't change because you're in a hurry. HMRC's trivial benefits rule means no tax or National Insurance is due on a gift if all four of these apply:

  1. It cost you £50 or less to provide
  2. It's not cash or a cash voucher
  3. It's not a reward for their work or performance
  4. It's not in their contract

A Christmas gift sent to the whole team usually passes the third test, because it's seasonal, not a reward for hitting a target. Don't word it as one. "Thanks for smashing Q4" turns a Christmas gift into a performance reward, and performance rewards aren't trivial benefits whatever they cost.

The £50 limit includes VAT. On Huggg the listed price is the total, VAT and postage included, so a £50 gift sits exactly on the limit. Directors of close companies (five or fewer shareholders) are capped at £300 of trivial benefits a year. Our trivial benefits gift card guide goes through the edge cases, including the top-up trap.

How to send gifts to the whole team in an afternoon

If you're doing this on the 22nd or 23rd, the order of operations matters more than the gift.

  1. Pick one budget for everyone. Per-person budgets are where last-minute gifting stalls. One figure, one approval.
  2. Choose the selection, not the gift. A gift card range or a gift with choice means you don't need anyone's preferences or sizes.
  3. Choose how it travels. Email and SMS by Huggg, or "share myself" links you drop into Slack, Teams or WhatsApp so it comes from you. SMS is the one that reaches shift and frontline teams without a work email.
  4. Upload the list, or use one link. A CSV handles anything up to 10,000 people. A group link lets everyone claim from a single message, and you can restrict it to your email domain.
  5. Schedule it. Set it to land at 9am on the last working day, so people on leave get it at the same time as everyone in the office.

There's no account for recipients to create and nothing to download. If you're buying for 100+ people and want a hand with the list, our guide to sorting team Christmas gifts covers the bigger jobs.

Late isn't the problem. Generic is.

Leaving it late gets blamed for a lot of bad Christmas gifts. Our data suggests that's the wrong suspect.

In our Christmas Gift Report, we surveyed 500 UK workers about last Christmas. Of those who got something from their employer, 42% said it was appreciated but felt generic. Only 34% felt genuinely valued. And 31% got nothing at all.

Generic happens when one person picks one thing for everyone. Speed doesn't cause it. That's why choice matters more than timing: across 477 companies in our Christmas 2025 data set, when people chose their own gift, 84% picked something outside the 10 most popular items. Nobody guesses that well, early or late. We go further on this in the case against the panic-buy December gift.

This is what Commercial Director Lewis Quick says: "We see companies get Christmas gifting sorted really early, while others leave it to the last moment - the good thing is that Huggg works either way, and still feels meaningful.".

So if you're reading this on the 22nd, you haven't missed anything that matters. A short, specific message plus a gift people pick themselves beats a hamper that arrived on time and went to the wrong person.

FAQs

What is the last day to send staff Christmas gifts in the UK in 2026?

For posted gifts, Wednesday 23 December by Special Delivery Guaranteed, or Monday 21 December by 1st Class. Digital gifts sent as a link have no cut-off and can go out on Christmas Eve or Christmas Day.

Can I send a staff Christmas gift without a home address?

Yes. Digital gift cards and gifts with choice are sent by email, SMS or a shareable link, so you only need a contact, not an address. If someone picks a physical gift, they add their own address when they claim.

Are digital Christmas gift cards for employees taxable?

Not if they meet HMRC's trivial benefits conditions: £50 or less including VAT, not cash or a cash voucher, not a reward for work or performance, and not in the contract. A gift card that can only be spent on goods or services is not a cash voucher.

Can I schedule staff Christmas gifts to arrive on a set day?

Yes. On Huggg you can schedule a send in advance, so you can set it up early in December and have it land on the last working day, including for people already on leave.

Posting dates checked 30 October 2026 against Royal Mail and the Post Office. Carriers can change them, so check before you rely on a physical send.
